LogisticsOp provides delivery management software to businesses that operate delivery fleets. This policy explains what we collect, why, and what happens to it.
1. Who is responsible for your data
When a business subscribes to LogisticsOp, that business is the data controller for the information in its account, its drivers, customers, invoices and delivery records. LogisticsOp is the data processor: we store and process that information on the business's instructions.
If you are a driver or an employee of a business using LogisticsOp and you want to know how your information is used, or to request its deletion, contact your employer in the first instance. We will assist them with any such request.
2. Location information
What we collect and when
The LogisticsOp driver app records the device's location only while a delivery route is active, that is, from the moment a driver starts their route in the app until they complete or close it. Outside those periods the app does not record location.
Because a driver's phone is normally in a pocket or mounted while driving, location is recorded in the background during an active route. Android shows a persistent notification while this is happening, so it is always visible to the driver that tracking is on.
Why it is necessary
- Live vehicle tracking, so the business can see where its vehicles are during the working day and answer customer queries about arrival times.
- Route history, the path driven is stored so the business can review how a day was run, and measure distance travelled.
- Proof of delivery, when a driver photographs a delivery, the position at that moment is recorded and compared with the customer's registered address, so the business can confirm the delivery happened where it should have.
The app cannot perform its purpose without this. A delivery management system that does not know where the vehicle is cannot plan routes, confirm deliveries or answer "where is my order".
What we do not do with it
- We do not track drivers outside active delivery routes.
- We do not sell, rent or share location data with advertisers, data brokers or any third party.
- We do not use location data to build profiles for any purpose other than the delivery operation of the business that employs the driver.
3. What else we collect
| Information | Why | Who provides it |
|---|---|---|
| Name, phone number, login credentials | To identify users and secure accounts | The business |
| Photographs of shopfronts and delivery documents | Proof that a delivery took place | Taken by the driver in the app |
| Odometer readings and photographs | To record distance travelled per route | Taken by the driver in the app |
| Delivery records, customer name, address, invoice value, outcome | The core operational record | Uploaded by the business |
| Device and app diagnostics | To diagnose faults and keep the service reliable | Collected automatically |
Camera
The app uses the camera only when a driver chooses to take a delivery photograph. It does not access existing photos on the device and does not take pictures without a deliberate action by the driver.
4. How information is stored and protected
- Separate databases. Each business's data is held in its own database, not pooled with other customers'. Photographs are likewise stored in a folder specific to that business.
- Encrypted in transit. All communication between the app, the web portal and our servers uses HTTPS.
- Passwords are stored using one-way hashing and cannot be read by us or recovered, only reset.
- Access control. Businesses decide which of their staff can see what, through per-user permissions.
- Backups are taken daily and retained for 30 days.
Our servers are located in the United States. Data may therefore be transferred to and stored outside the country in which it was collected.
5. How long we keep it
Delivery records, location history and photographs are retained for up to 24 months, after which they may be deleted. A business may ask us to delete its data sooner.
If a business ends its subscription, its data is retained for 60 days so it can be exported, and then deleted.
6. Who we share it with
We do not sell personal information. We share it only:
- with the business that employs or contracts you, which is the whole point of the service;
- with service providers who host our infrastructure, bound by confidentiality obligations;
- where we are legally required to do so.
Route optimisation uses OpenStreetMap-based routing services, which receive delivery coordinates in order to calculate distances. They do not receive names, invoice values or any other personal detail.
7. Your rights
Depending on where you live, you may have the right to access the information held about you, correct it, request its deletion, or object to how it is used.
If you are a driver or employee, please make such requests to your employer, who controls the data. If you contact us directly, we will refer you to them and support them in responding.
8. Children
LogisticsOp is a workplace tool and is not intended for anyone under 18. We do not knowingly collect information from children.
9. Changes to this policy
If we change this policy we will update the date at the top of this page. Where changes are significant, we will notify subscribing businesses directly.
