Getting started

What it takes to run your first day on LogisticsOp.

Does LogisticsOp work with our ERP?

Yes. LogisticsOp takes the day's invoices from a spreadsheet export, so it works with Microsoft Dynamics 365 Business Central, SAP, Oracle, Odoo, Zoho, Tally, or any system that exports to Excel or CSV. Nothing changes in your ERP.

Where a customer wants invoices to flow across automatically rather than through a file, we build a direct integration for their system.

How long does setup take?

A fleet can be running within a day. Adding your drivers, setting the warehouse location, and mapping each salesperson to the driver who covers that territory takes under an hour. The rest is installing the app on drivers' phones.

The salesperson mapping only has to be done once, after that every upload assigns itself.

Do drivers need training?

The app shows one stop at a time: navigate, photograph, mark delivered. A driver enters an odometer reading once in the morning and follows the route from there. In practice drivers are working within a day.

Complicated software gets abandoned in the cab, so the app deliberately asks for as little as possible.

Which phones does the driver app run on?

Android today, with an iPhone version in development. Managers use the web portal, which works in any browser on desktop, tablet or phone.

Running the day

What happens between the morning upload and the closing report.

Can I change a route after it has started?

Yes, in two ways. You can add an urgent invoice or remove one, then re-optimise only the stops the driver has left, he carries on from where he is, without restarting the day or re-entering the odometer.

You can also move a single stop up the order, which is what you want when a customer calls needing delivery sooner. The driver's phone updates immediately. Stops already completed stay where they are.

What happens when a delivery cannot be completed?

The driver records why on the spot, shop closed, customer refused, wrong address. If it is being rescheduled, the follow-up delivery is created automatically for the agreed date and keeps the same invoice number.

That matters, because it means the whole chain stays traceable. An invoice attempted three times before it delivers is one record with three attempts, not three unrelated rows.

How do we know nothing has been forgotten?

Every invoice has to end delivered or cancelled. Anything still open appears on one list, oldest first, so it cannot quietly disappear. Today's route is excluded, work in progress is not a problem to solve.

What happens if a driver loses signal?

The app keeps working. Deliveries and photographs are held on the device and sent once signal returns.

Gaps in the recorded route are filled in against the road network, so the trail still follows real roads rather than drawing a straight line across the map.

Proof and disputes

How to answer "it never arrived".

How does the proof of delivery work?

At each stop the driver photographs the shopfront and the signed invoice. LogisticsOp records the GPS position at the moment the photo is taken and compares it with the customer's registered location.

So you do not only have a photograph, you have a photograph, a time, and the distance between where the driver was and where the shop is supposed to be.

What if a customer's saved coordinates are wrong?

You will see it immediately, because the delivery is flagged as far from the registered location even though it went fine. Fix the coordinates once at the source and every future route to that customer improves.

In practice this is one of the first things a new fleet cleans up, and it makes route optimisation noticeably better.

How far back does the record go?

Delivery records, photographs and route history are retained for up to 24 months. Everything is exportable to Excel at any point, and the reporting API gives you the full history for your own systems.

Privacy and data

What is recorded, and who can see it.

Does the app track drivers outside working hours?

No. Location is recorded only while a delivery route is active, from the moment the driver starts their route until they complete it. Outside those periods the app does not record location.

Android shows a persistent notification whenever tracking is running, so the driver always knows. Location is never sold, never shared with advertisers, and visible only to the business that employs the driver.

Does my data stay separate from other companies?

Yes. Each company runs on its own database and its own web address, with delivery photographs stored in a separate folder. Nothing is pooled between customers.

Can we export our data if we leave?

Yes. Every delivery record is exportable to Excel at any time, and the reporting API gives you the full history. If a subscription ends, data is retained for 60 days so it can be exported before deletion.

Who can see what inside our account?

You decide. A supervisor can be given view-only access, or rights to particular actions such as changing a delivery status, without handing over the admin account.

Commercial

How much does LogisticsOp cost?

It is a subscription priced per fleet size. Request a demo and we will quote based on your vehicle count and daily stop volume.

Is there a minimum fleet size?

No. The system runs the same way for three vehicles as for thirty. Smaller fleets tend to feel the benefit fastest, because there is usually nobody whose job it is to track deliveries manually.

What does the demo involve?

A working walkthrough with your kind of delivery day, not slides. We set it up with your drivers and customers so you are looking at your own operation rather than a sample one.
